FolderMatic Clone-A-Folder Overview
FolderMatic Clone-A-Folder for Microsoft Exchange enables Exchange Administrators (and users with highly escalated Exchange privileges) to define a template structure of Outlook calendar, contact and task folders and then rapidly clone the structure to multiple server-side mailboxes. Add2Exchange Standard edition was designed to make relationships to a user's default folders; the FolderMatic add on tool was created to help make relationships to non-default folders for Add2Exchange Standard installations. Since the Add2Exchange Standard relies on the fact that the folders for setting up the relationships are already created, and since the Add2Exchange Standard does not make folders from within the application, this add on tool enables administrators to make folders en mass.
FolderMatic is free with the purchase of any Add2Exchange Standard Edition license or can be purchased as a standalone solution. Add2Exchange Enterprise edition includes a feature to centrally make any kind of folder involved in single or template relationships so the functionality of FolderMatic is not needed for Add2Exchange Enterprise licensees.
How FolderMatic Works
You or your Exchange administrator will log on as the new Add2Exchange Service Account with the prerequisite permissions (or simply by installing as the Add2Exchange Service account). Once FolderMatic is run, FolderMatic uses the expanded privilege the service account has, logs in and impersonates the users to create folders from your defined template structure. The FolderMatic Administrator (Service Account) selects a mailbox (usually the A2E Service Account's mailbox) to create a template folder structure, select the desired number of target users (server-side mailboxes from the GAL) to then copy the new folder structure. Once you select GO from the FolderMatic interface, the process will complete in a few seconds and a report of the successes and failures will display onscreen. That's it!
As was mentioned, these new folders are often used to create source or destination relationships in the Add2Exchange Standard Edition but can be used for any other business purpose.
FolderMatic simply makes folder structures of combinations of calendar, contact, task folders and clones the structure to all selected mailboxes which are not hidden from the GAL, have a mailbox and have been initialized (Exchange 2003) by opening at least once. FolderMatic does not delete folders from existing mailboxes, create new mailboxes or initialize mailboxes, just create folders of some Outlook type desired.
Using FolderMatic
FolderMatic is a server-based centralized folder creation and management solution for cloning Outlook folders in a safe, reliable and consistent manner. FolderMatic was developed in .Net framework, a broader platform capable of rapidly changing and improving to accommodate the ever changing Microsoft Security and Exchange patches. FolderMatic can be loaded directly on the Exchange Server or on a file server with Exchange System Manager installed or the standalone ExchangeMapi. FolderMatic may be loaded on a workstation with Outlook and the optional CDO component installed, however is not recommended since a third party product to eliminate the Outlook Security warnings would be recommended.
Once FolderMatic is set up and configured properly to run, the FolderMatic administrator makes a template folder structure and when the FolderMatic "GO" button is pushed, the structures from the source are copied to the destination mailboxes for calendars, contacts or task folders. A word of caution: Since FolderMatic is so powerful, we suggest taking a moment to check the desired results against your settings BEFORE you press the GO! Button, since there is no undo button.

FolderMatic makes one tree structure at a time and it can be copied to as many users listed in the Global Address List (GAL) as desired. Obviously the destination user cannot be hidden from the GAL during this copy process.

The folders created in FolderMatic can be synchronized to a user's mobile device if it is included in the Send/Receive settings of ActiveSync, Intellisync, Windows Mobile or whatever other software you use to get information from Outlook into the mobile device. Note: Often these new folders which are created must be manually added as inclusions to the Send/Receive Settings in Outlook or your synchronization software. If they are not appearing on your mobile device, check there.

FolderMatic does not copy existing structures from one mailbox to another, nor does it copy the information contained in the folders.

FolderMatic only works with server-side mailboxes, not personal mailbox folders (not PST files).

FolderMatic is FREE with any Add2Exchange Standard Edition license purchase or available for purchase as a standalone solution. A FolderMatic trial version is available with limited functionality and will make folders for 21 days; during trial mode, FolderMatic will only allow making 20 folder clones and only 3 at a time. Once licensed, FolderMatic can make an unlimited number of folder clones as desired at one time.
